Student Information System (SIS) Access Procedure

Getting access to SIS is a multi-step process that can often take up to two weeks.

If you know a new staff person will be starting out working in your office, it's a good idea to have them fill out their paperwork as soon as possible.

First Time Access


1. Complete the following two forms and send via campus mail to the Manager of Computer Operations - 1601 Stat/Comp Building.


A.
Logon ID Request/Computer Security and Use Agreement

Do not fill in "Logon ID". This is filled out by Computing.

B.
Request for Access to Systems

Place an "X" next to "SIS" for the desired system.
 
If you need to make deposits then you need to indicate on this form that you need access to CASH.  More information on this training for this system can be found here


Both forms must be signed by the person in your department who is authorized to delegate systems access and has a Signature Authorization/Delegation on file in the Institutional Computing.

If you are not sure who in your department is authorized; please contact Greg Sanders in Computer Operations at ext. 5914.


2. C&C will return (via campus mail) a copy of the forms to the authorized department head indicated on the form.

The form will include your IBM Logon ID.

You must have your IBM logon ID in order to fill out the online form in Step 4.  Please wait until you receive the forms back from C&C before proceeding to Step 4.

3. Take the
FERPA training.

Student Employees are required to review the FERPA Training for Student Employees PowerPoint and then sign (along with their supervisor) the Student Employee Statement of FERPA Understanding (SESFU).

The signed and dated SESFU must be received by the
SIS Access Coordinator , in 2250 Student Services Building, before access will be established.
You may also scan and e-mail the signed form to the  SIS Access Coordinator.


4. Fill out and submit the online  SIS Access Request Form .

The form must be filled out by the person requesting access as they must certify that they have taken the FERPA training.

Be as specific as possible in the areas provided. If there is a user who has similar access, please include that information on the form. 

Do not submit one request for multiple people under the same access request form.

If you need update access to Billing to assess charges to student accounts or vendors please indicate this on your request form.  A representative from Student Business Services will contact you to schedule training prior to update access being approved.


5. Request is sent for review to Enrollment Management Systems.  

Approved requests are sent for processing within 2-3 business days.  If your request is denied, you will receive notice by e-mail.

6. User notified by Computing via e-mail that access has been established.





Modifications to Existing Access  

Fill out and submit the online SIS Access Request Form.

Indicate screens that you need to add or delete from your current access.

Do not submit multiple people under the same access form.  Fill out one form per employee.
 





Transferring Departments

If you have transferred, or are in the process of transferring your employment from one UCR department to another UCR department a CANCELLATION REQUEST must be processed by the department you are leaving or have left.

The department you are transferring to can then request access for you following the steps above for First Time Access.

You are not allowed to have two IBM logon ID's at the same time. If procedures are not followed in a timely manner, you may find yourself temporarily without access.




Haven't Accessed SIS/IA in Three Months


Your access has been revoked. You must follow all the steps outlined for First Time Access above.
